SEO client report

Editable template. Replace every [placeholder], remove instructions, and verify sources before sharing. No performance figures are prefilled. Missing data is not zero activity. Keep estimates distinct from recorded results.

1. Executive review

This period's main observation: [A concise finding supported by a named source]. Why it matters: [Connection to the client's agreed objective]. Work completed: [Two or three specific deliverables]. Next priority: [One clear action and owner]. Client input needed: [Decision, fact or approval; or none].

[Explain the result in plain language. If the period is incomplete, tracking changed or records are missing, identify that before interpreting a difference. A ranking improvement is not by itself proof of increased sales or the effect of one specific task.]

2. Measurement definitions and scope

Record quality: [Who updated sales/lead stages; unresolved gaps]. Seasonal/business context: [Verified operating changes, capacity, closures or promotions]. Interpretation: [What the evidence supports and what remains uncertain].

Do not substitute ad-equivalent traffic value for revenue. If an opportunity estimate is discussed, put it in a separately labeled section with its assumptions.

4. Search and local visibility

Use the SEO client report template to explain a decision

The SEO client report template starts with a concise executive review because the reader needs to understand the period before inspecting detailed evidence. Fill that summary after reviewing the data, not before. State what changed, why it matters to the agreed objective and what the team recommends doing next. If the evidence is incomplete, explain the gap rather than replacing it with a confident narrative.

The downloadable Markdown document contains blank fields and instructions for your own records. The CSV gives the team a separate action tracker. You can use both without an Agency Pilot account. Adapt the sections to the engagement and remove irrelevant areas, while retaining the definitions and limitations needed to understand the measures you choose to present.

Define the reporting period and evidence before writing conclusions

Confirm the client, included locations and date ranges first. A partial month, new branch or altered tracking setup can change a figure without representing the same change in underlying business performance. Name the comparison period and explain whether it is genuinely comparable. Keep the same care when a report combines observations collected on different dates.

For each important measure, record the source and definition. A lead, qualified enquiry and recorded sale should not be used interchangeably. If the client has not updated sales records, explain that limitation before interpreting revenue. The template's evidence fields help the reviewer identify those distinctions, but the agency still needs to verify them against the actual sources and the client's operating process.

Show work and outcomes as related but distinct evidence

Use the work-completed table for concrete deliverables and their verification. Name the page, correction or task so the client can understand what the agency did. Then discuss search or business observations in the relevant section. A completed deliverable and a changed result can be presented together without claiming that the first alone caused the second.

This distinction is particularly useful in a quiet or variable month. A report can show meaningful work and explain why the available outcome evidence does not yet support a strong conclusion. Conversely, a good result does not remove the need to document what the team actually delivered. Clear reporting gives the client both kinds of information and preserves the context needed for later decisions.

Turn uncertainty into a specific next check

An uncertainty section is useful when it identifies the question, its effect and the person responsible for resolving it. Avoid filling it with vague caveats. If a number cannot be compared because a location was added, state that. If a website concern requires a functional test, name the journey and the check. If the client must confirm a fact, make the request clear enough to answer.

Use unavailable where records are absent rather than entering zero. Explain estimates and their assumptions separately from recorded outcomes. This keeps the report usable even when the evidence has limits. The reader can see what is known, what remains unresolved and which action would improve the next review, instead of being left with either false certainty or a list of unexplained blanks.

Carry the action plan into the next reporting period

Select a manageable set of actions supported by the report. Give each an owner, due date, reason and completion check, then use the CSV or the team's normal task system to track it. The action plan should include any client input needed so a dependency is not mistaken for inactivity. If the scope needs changing, identify the decision before assuming the additional work is authorized.

Start the next report by revisiting the previous plan. Mark work completed, changed, deferred or still blocked, with a brief reason. This creates continuity between reporting periods and makes the report part of delivery. The value is not the length of the document; it is the clear connection between evidence, agreed actions and the next observation the client can assess.

Frequently asked questions

What is included in the SEO client report download?

The Markdown file provides an editable report with executive summary, metric definitions, business outcomes, visibility, website and profile observations, completed work and next actions. The accompanying CSV is an action tracker. Every result field is blank or instructional. Replace placeholders with your own verified evidence and remove unused sections before sharing the report with a client.

Can I use this template without buying software?

Yes. The files are available directly without an account. Edit the report in a text or document editor and open the CSV in spreadsheet software. The template does not depend on an automatic data connection. You supply the relevant evidence and definitions from your existing tools, then decide where to keep the completed report and action record.

Are there sample client results in the template?

No. The document uses placeholders instead of fabricated performance figures. This helps prevent an example number from accidentally becoming part of a client's report. Enter only information supported by your sources, label estimates explicitly and use unavailable where records are missing. A blank field is a prompt to verify the evidence, not permission to invent a plausible value.

Which comparison period should I choose?

Choose a period that answers the client's question and explain the reason. Check that the length, included locations, definitions and tracking conditions are comparable. If they differ, state the effect on interpretation. A previous period may be useful context without supporting a simple percentage-change claim. Keep the dates visible so the reader can understand what the comparison actually represents.

How should I report missing sales information?

Identify the missing records and their effect on the revenue discussion. Use unavailable or a clearly qualified figure rather than implying the absence of records means no sales occurred. Name the person responsible for maintaining or reconciling the information. This gives the client a practical way to improve the next report and avoids presenting an incomplete system view as the whole business's performance.

Should I include every keyword in the executive summary?

No. Use the summary for the observations most relevant to the client's objective and next decisions. Keep detailed query evidence in the supporting section or referenced report. Explain the location, result surface and scope where they matter. A long list of positions without interpretation can make it harder for the owner to see what changed and why the agency recommends a particular action.

Can I combine Maps and organic rankings into one figure?

Keep their definitions clear and avoid a combined figure that hides what was measured. Maps and organic observations concern different result surfaces and may use different settings. Show them separately when that helps the reader understand the evidence. If you present any summary, explain its construction and limits rather than calling it the client's single Google ranking.

What belongs in the completed-work section?

List specific deliverables, completion dates, owners and evidence of verification. Examples include a named page published after approval or a confirmed profile correction checked afterward. Keep anticipated benefits separate from completion itself. The client should be able to tell what the agency actually did, while the outcome sections describe the subsequent observations and any uncertainty about their relationship to that work.

How do I explain a strong result without overstating it?

State the observed change, source and context, then distinguish what it establishes from what remains uncertain. A ranking increase does not alone prove a sales increase or identify the exact cause. You can still explain why the observation is encouraging and what the team will check next. Precise language helps the client assess progress without turning a useful result into an unsupported guarantee.

What should I say when results are stable?

Describe the stable observation honestly and review completed work, dependencies and next priorities. A report does not need a dramatic claim to be useful. Explain whether the current evidence supports continuing the plan or investigating something specific. Avoid treating stability as automatic success or failure without considering the client's objective and the scope of the measurements involved.

How should I handle estimated traffic value?

Place it in a clearly labeled estimate section with the method and assumptions relevant to the figure. Do not substitute it for recorded sales, revenue or profit. Explain what decision it can support, such as discussing the scale of a search opportunity. The reader should be able to distinguish modeled potential from outcomes documented through the client's own business records.

Does a healthy website status prove the enquiry form works?

No. Availability and functional completion are different checks. Record the URLs or journey actually tested and the evidence that an agreed test enquiry reached its destination. A successful page response alone does not establish that a form or checkout completed. Use the report to state the scope of each check accurately, especially when website health is part of the engagement.

How do I choose the next actions for the CSV tracker?

Select actions supported by the report and relevant to the agreed scope. Give each a reason, owner, due date and completion check. Identify client input separately so dependencies remain visible. Avoid filling the tracker with every possible recommendation. A manageable plan makes it easier to complete work and explain its status at the next review.

What should I check before sharing the report?

Verify client identity, dates, definitions, sources and any unusual figure. Remove unresolved instructional placeholders and confirm that estimates are labeled. Review links, recipients and the suitability of the sharing method for the information included. Ensure the next actions match the discussion you intend to have, so the report is ready to support a decision rather than generate avoidable questions about basic details.

How do I connect this report to next month's review?

Retain the final report and the decisions made after discussing it. Begin the next period by revisiting the previous actions, including anything deferred or blocked. Preserve comparable measurement settings and explain changes. This gives the relationship a clear history of evidence, work and decisions rather than a series of separate documents whose recommendations are never checked again.
